Who is responsible
ApplyEasy (Pty) Ltd will be the responsible party for personal information processed through this service. Before launch, replace this placeholder with the registered company number, physical address and appointed Information Officer’s registration details.
What we collect
Account and contact details; career history, qualifications and preferences; saved jobs and application activity; service diagnostics. ApplyEasy is completely free: no payment or card details are collected at all.
Why and on what basis
We process information to provide job matching, prepare user-approved applications, maintain the application tracker, secure accounts and provide support. The applicable justification may be consent, contract performance, legal obligation or a legitimate interest, depending on the activity. Optional marketing requires a separate choice.
AI assistance
In hosted mode, EasyAI may send career preferences, selected job details and recent assistant messages to the OpenAI API to produce the answer requested by the user. Contact details are excluded by default; no documents or payment information exist in the service. The local assistant does not contact an external AI service. OpenAI states that API data is not used to train its models by default; limited retention may apply for abuse monitoring. See OpenAI’s business data commitments.
Sharing and cross-border processing
Information is shared only with contracted operators needed to run the service and with employers or job platforms when the user chooses to apply. Before launch, list each operator, hosting location, safeguards and any cross-border transfers in the production notice and operator agreements.
Retention and security
Keep information only as long as necessary for its stated purpose or a legal requirement. Production controls should include encryption in transit and at rest, least-privilege access, audit logs, protected backups, vulnerability management and a documented incident response process.
Your rights
You may ask whether we hold your information, request access or correction, object to processing, withdraw consent, request deletion where applicable, and complain to the Information Regulator. Use the in-app Privacy centre or contact privacy@simpleapply.co.za.
Security compromises
ApplyEasy will assess and document incidents and notify the Information Regulator and affected people as soon as reasonably possible where POPIA requires it.
